Operations Administrator/Coordinator
Work in an integral and varied role in our business, coordinating compliance, team members and documentation.
The Operations Administrator/Coordination role is a newly created role, reporting to the Commercial Manager. This position will include coordination within our Orchard, Trucking, Farm and, in time, our new Quarry. The role requires exceptional organisational and communication skills. Hours will vary based on seasonal requirements - typically 30 hours a week in the off-season and 40 hours in the on-season.
Key Responsibilities:
1. Compliance and Documentation:
Complete all necessary documentation to meet reporting, legislative and administrative requirements.
Manage compliance audits (Global Gap and SWINZ audit)
Manage Orchard Registrations (NZAPI and SWINZ)
With the Orchard Foreman complete and authorise staff payroll
With the truck driver collect and document the daily dockets for invoicing
Document toolbox talks and any Health and safety incidents in site docs
Organising leasing for cropping squash and timely track all crop packing and sales reconciliations,
Complete all ordering and administrative functions for the Orchard site
In conjunction with trucking and the Orchard Foreman, manage all R&M requirements, RUCs and vehicle registrations
2. Collaboration and Communication:
Liaise with the staff across our four divisions to meet operational and workflow deadlines
Maintain prompt and open communication with the commercial manager, sharing any work issues, concerns and successes and any information influencing workflow
3. Performance Standards:
Maintaining a high-performance standard in executing assigned duties
4. Skills and Expertise Required
3+ years’ experience as Operations Administrator or Operations Coordinator of an Orchard is preferrable
Experience in compliance audits, specifically Global Gap audits
Experience in SWINZ (Sustainable Winegrowing NZ) audit is perferrable
Knowledge of ABC Grower is ideal
Skilled in Excel and Microsoft applications is a requirement
Ability to remain calm and work effectively in time sensitive situations
Excellent communication skills.
Must be flexible to meet the demands of seasonal requirements
Must have the ability to work autonomously
